What each field is for

Name

Use the @mention, not a nickname. Mentions survive name changes and let anyone ping the player directly.

Role

The position they actually play. Add a secondary role for anyone who flexes, since that is who fills gaps first.

Rank

Needed for scrim matchmaking. Opponents ask for an average rank before they agree to a match.

Status

Active, benched, sub or on leave. Without this a roster of 10 looks like 10 available players when it is really 6.

Where a pinned template runs out

A template is a snapshot. It is accurate the day you paste it and slightly wrong every day after. Ranks move, players get benched, someone leaves and nobody edits the pinned message.

The bigger gap is availability. A roster tells you who is on the team. It cannot tell you who can actually play on Thursday, which is the question you need answered before every scrim.
